From our hiring approach and team onboarding to everyday interactions, must-have admin processes, and internal events, our People & Culture Coordinator will be key to making sure these things run like clockwork in a flexible but structured way. That's why we need someone who is enthusiastic, meticulously organised, approachable, and an excellent communicator with a human-centric approach to everything they do.

Reporting into the Head of People & Culture, this role supports a variety of areas throughout our team lifecycle including recruitment, onboarding, review cycles, learning & development, engagement strategies, policy review, and implementation. This role will also assist with general, everyday administration - so a clear understanding of how our people strategy supports the success of our OKR (Objectives & Key Results) framework is essential.

The Role

  • Workload Prioritisation - Document, prioritise and track incoming internal HR requests as necessary in line with wider agency commitments and an understanding of both short-term and long-term strategic plans.
  • Handling Enquiries - Provide up-to-date guidance and support to both team members and people managers on our internal people processes and systems.
  • Data Management - Ensure accurate data management and record retention of all people-related administration on our dedicated people & recruitment platforms (HiBob and HomeRun) ensuring all practices comply with GDPR (UK) legislation.
  • Recruitment - Handling all active recruitment. Short-listing applicants as agreed with hiring managers, arranging interviews and coordinating diaries across the team and preparing all post-interview paperwork including employment letters and contracts.
  • Team Immersion Experience - Work in partnership with our Office Manager and hiring managers to ensure new members of the team have an exceptional pre-boarding and onboarding experience. Continuously reviewing and refining as necessary over time based on team feedback.
  • Onboarding Coordination - Tracking new team members first three months to ensure there are regular check-points, feedback opportunities and development plans.
  • Internal Events - Support the HoPC with the implementation of regular internal events which support team-building, engagement and learning across a number of themes and work closely with the Office Manager to surprise and delight our team with ad-hoc treats, surprises and fun events.
  • Review Cycles - Assist with the organisation and launch of regular review cycles, providing support and guidance to People Managers on process.
  • Learning & Development - Assist with the collation of data on PDP progression, skills analysis, learning opportunities at agency, team and individuals and support the coordination and delivery of internal learning programmes.
  • Policy & Handbook management - Working closely with the HoPC to make sure MadeBrave has relevant policies in place which support both the business and ensuring these are updated regularly with any changes and included in our Employee Handbook.
  • Reporting - Assist with the scheduled reporting on business critical reports such as payroll changes in addition to team engagement surveys and ad-hoc polls for feedback.

What We’re Looking For

  • Excellent communication skills - you’ll be able to articulate ideas, opinions and feedback clearly and confidently with a level of self-awareness, self-management and social awareness. You’ll be able to practice active listening, with intent to understand. Excellent writing and presentation skills.
  • An inquisitive and curious mind - an eagerness to learn continuously and seek out creative solutions to problems.
  • Meticulous organisation skills - someone who is comfortable handling high volumes of requests and approaches in a methodical and logical manner. An ability to continually reassess priorities with a level head, and respond to requests in a timely way.
  • Administration skills - demonstrable experience using administration tools and knowledge of working applications (examples include Google Suite, Microsoft Word & Excel and other bespoke platforms)
  • Attention to Detail - a critical eye for attention to detail, able to proof-read and spot-check complex data and spot anomalies with ease.
  • People/HR experience - A working knowledge of HR administration processes.
  • Discretion & diplomacy - An ability to exercise discretion and adhere to confidentiality requirements when handling sensitive data.
